Add Gmail To Outlook
The most flexible and powerful way to access Gmail in Outlook is also the easiest to set up.
If you don't use Google's Two-Step Verification, activate your Google account's Less Secure Apps feature to allow Outlook to access your Gmail account. Enable POP or IMAP Step. Click the Settings icon after logging in to your Gmail account and then click Settings from the menu box to open the Settings page.
As an IMAP account, Gmail does much more than offer newly added emails for download. You also gain access to old messages and all your Gmail labels, which appear—and can be used—as folders in Outlook. Actions such as archiving or deleting messages and starting a new draft are automatically synchronized with Gmail on the web and reflected in other email programs, say on a phone that also accesses Gmail using IMAP, for example.
Since Outlook is familiar with Gmail and its IMAP settings, you have little more to do than enter your login details and make sure IMAP is turned on in Gmail.
Access Gmail in Outlook Using IMAP
To add Gmail as an IMAP account to Outlook, while automatically synchronizing online labels as folders:
Make sure IMAP access is enabled for the Gmail account you want to set up in Outlook.
Click Filein Outlook.
Go to the Info category.
Click Add Account under Account Information.
Enter your full name under Your Name,as you want it to appear in the From line of emails you send from the Gmail account in Outlook.
Type your Gmail email address under E-mail Address.
Type the Gmail account's password under Password.
Enter the Gmail password again under Retype Password. If you have two-factor authentication enabled for the Gmail account, create a new application password and use that under Password and Retype Password.
Click Next.
The default setting is to have access to the past three months of mail. If you want all your messages available in Outlook, make sure Change account settings is checked and click Next. Select All under Mail to keep offline.
Click Finish.
Once Outlook has finished sending a test message, click Close in the Test Account Settings window.
You can also set up Gmail as an IMAP account in Outlook 2002 and Outlook 2003 as well as in Outlook 2007.
POP access to Gmail in Outlook is also available and a solid alternative if you want to deal with or back up mail on your computer without worrying about labels and synchronization.
Add Gmail To Outlook
-->Before you connect to your Gmail account from Outlook on the web, or add a Gmail account to Outlook, you need to prepare your Gmail account. You need to turn on 2-step verification for Gmail and then create an app password that Office 365 will use with your Gmail address to make the connection.
You will also have to do this if your admin is planning to migrate your Gmail or G Suite Gmail to Office 365.
Enable IMAP for Gmail and G Suite Accounts
Please make sure that you have enabled IMAP before you start the migration process. Failure to do so will result in migration-related issues.
To enable IMAP for Gmail or G Suite Accounts:
Sign in to your Gmail/G Suite account using a supported browser.
Click the gear icon located at the top right of the screen.
In the drop-down menu that appears, click Settings.
Switch to the Forwarding and POP/IMAP tab.
Scroll down to the IMAP access, and make sure that Enable IMAP is selected.
Scroll to the bottom. Click Save Changes.
Add Gmail To Outlook 2010
Enable your Gmail to be connected by Office 365
To use an app password with Gmail, you have to first turn on 2-step verification, and then obtain the app password. Once you have an app password you can use that in combination with your username to connect to Gmail.
To turn on 2-step verification
Sign in to your Gmail account
Select Google apps > My Account.
On the My Account page choose Sign-in & security.
Under the Password & sign-in method, choose the arrow next to the 2-Step verification, and provide your password if asked.
Note
If you have a google apps account and you can't see this setting, your admin has to first turn it on. For instructions (for admin), see Enable 2-step verification for your G Suite users.
On the Signing in with 2-step verification page, choose Start setup.
Re-enter your password if asked, and in the Set up your phone step, enter or verify your cell phone. On the next step enter the verification number sent to your cell phone and choose Verify.
In the Trust this computer step choose Next, and in the Turn on 2-step verification step choose Confirm.
To create an app password
Add Gmail To Outlook Office 365
Sign in to your Gmail account
Select Google apps > My Account.
On the My Account page choose Sign-in & security.
Under the Password & sign-in method, choose the arrow next to the App passwords, and provide your password if asked.
On the App passwords page, in the Select app drop-down choose Other (custom name).
Type in a name, for example Myconnection > GENERATE.
Note the app password under Your app password for your device. You can use this with your Gmail address in the app you are connecting to your Gmail account (or adding you Gmail account to). This combination grants complete access to your Gmail account by the app that is using it.
After you have entered the app password, you do not have to remember it.
Important
The 16-character app password is displayed with spaces so it is easier to read. When you enter it to the app you want to connect, ignore the spaces and enter it as an unbroken string of 16 characters.
Now you're ready to add your Gmail account to Outlook. When you're prompted for a password, you enter this app password for your Gmail account. Don't enter your Gmail password. For instructions on adding your Gmail account to Outlook, see these articles:
Optionally revoke the app password
If you need the Gmail connection for a brief time only, for example for an IMAP mailbox migration that your admin is running, you can later revoke the App password.
To revoke the app password code:
Sign in to you Gmail account
Select Google apps > My Account.
On the My Account page choose Sign-in & security.
Under the Password & sign-in method, choose the arrow next to the App passwords, and provide your password if asked.
On the App passwords page, select REVOKE next to the app password you want to revoke.
